This section displays the service packages, Smart Numbers, devices, and service options included in your subscription plan.

Depending on your user account type, you may or may not have the right to change your service subscriptions in a manner that affects account billing charges:

  • If you have a company employee account, you will only view the service packages and options that you use without any possibility to add, change or remove services or options.
  • If you have a single-user professional account for which you are paying, you have the possibility to add and remove services and options including phone numbers and office extensions. You may also close your account.

In all cases, billing starts instantly for newly added or upgraded services, while billing for cancelled or downgraded services will cease at the end of the month.

To access Subscriptions, click Settings > Subscription in the main menu.

From the Subscription page, you can (depending on your type of account):

  1. View a full description of what is included in your packages and options.
  2. Add or delete a Smart Number.
  3. Add or delete an office extension including its assigned device or WebPhone on the Web Portal or mobile app.
  4. Activate/deactivate and configure Smart Number features (e.g. enable fax and SMS reception or 911 functions).
  5. Add or delete options to your service packages.
  6. Cancel the subscription entirely.
  7. Configure your private phone number settings (preferred authentication method when calling the Virtual Assistant, what to do first, activate call screening).
  8. Manage billing options (credit card details and billing address).

Overview of the Interface

This page displays your subscription details in 4 sections:

  1. Smart Numbers: This section lists the phone numbers assigned to your Smart Number service. You can edit existing Smart Number options such as fax, SMS and 911 service, add or delete Smart Numbers. See Key Notions to understand what a Smart Number does.
  2. Office Extensions & Phones: This section lists your current office extensions with their assigned telephone devices and WebPhone apps. You can add new office extensions and edit the options of existing ones.
  3. Main Package: This section displays the main service package of your subscription. Other service packages may be available for order.
  4. Service Options: This section displays extra service options included in your subscription as well as any other options available for order. Dimmed check boxes indicate that this option is already bundled in your main package.

You can access your bills and manage your billing information (payment method, credit card information) by clicking the Check my Billing hyperlink. See Billing Options for details.

View Details of Packages and Options

To view the description of a service package or option:

  • Click Settings > Subscription from the main menu.
  • Click the Details hyperlink of any item listed in the section Main Package or Service Options.
  • Some descriptions can be further expanded by clicking the icon.

Add a Smart Number

To add a Smart Number to your account:

  • From the main menu, click Settings > Subscription.
  • In the Smart Numbers section, click the Add button.
  • Fill in the fields as required. Click the following links for details:
  • Review the changes then check Inform the customer to get a confirmation email.
  • Click Confirm to add the Smart Number to your account.

Your account billing will be adjusted to reflect the changes in your subscription.

Add Office Extensions

Before adding an office extension to your account, you must know the telephone device, mobile app, WebPhone or third-party softphone that will be assigned to it. 

  • From the main menu, click Settings > Subscription.
  • In the Office Extensions & Phones section, click the Add button.
  • Fill in the new office extension fields as required. Click the following links for details:
  • Review the changes then check Inform the customer to get a confirmation email.
  • Click Confirm to add the Office Extension to your account.

Your account billing will be adjusted to reflect the changes in your subscription.

Activate / Deactivate Smart Number Options

NOTE: Depending on your user account type, you may or may not have the right to change your service options in a manner that affects account billing charges. See User Rights and Permissions for details.

In addition to handling regular phone calls, Smart Number can also support features such a fax and SMS reception as well as 911 emergency calls. See Smart Number Options for details.

To modify your Smart Number options:

  • From the main menu, click Settings > Subscription.
  • In the Smart Numbers section, click the Pencil icon to edit the Smart Number options.
  • Check or uncheck the box next to each option to enable it or disable it. See Smart Number Options for details.
  • Click Save to apply.

Your account billing will be adjusted to reflect the changes in your subscription.

Configure Smart Number Options

If your Smart Number supports phone calls, fax reception, text messaging (SMS) and/or 911 emergency calls, you may need to configure the settings of some feature. See Smart Number Options for details.

To configure Smart Number options:

  • From the main menu, click Settings > Subscriptions.
  • The Smart Numbers section lists your Smart Numbers along with a series of icons next to each number.
  • Each icon illustrates the activation status of a Smart Number option. Click the icon to access the option settings:
  • Edit the settings of each option separately as needed (fax reception, SMS reception and 911 emergency address) then click Save to apply. See Smart Number Option Settings for details.

Delete a Smart Number or Office Extension

NOTE: Depending on your user account type, you may or may not have the right to change your service options in a manner that affects account billing charges. See User Rights and Permissions for details.

To delete a Smart Number or office extension from your account:

  • From the main menu, click Settings > Subscription.
  • To delete a Smart Number:
    • Go to the Smart Numbers section, click the Unsubscribe icon next to the Smart Number to remove.
    • Confirm the Smart Number deletion.
  • To delete an Office Extension:
    • Go to the Office Extensions & Phones section, click the Unsubscribe icon next to the Office Extension to remove.
    • Confirm the Office Extension deletion.

Your account billing will be adjusted to reflect the changes in your subscription.

Add Service Options to your Subscription

NOTE: Depending on your user account type, you may or may not have the right to change your service options in a manner that affects account billing charges. See User Rights and Permissions for details.

To add a service option to your subscription:

  • From the main menu, click Settings > Subscription.
  • In the Service Options section, check the box next to the service option that you want to add to your account.
  • Click Submit to apply.

Your account billing will be adjusted to reflect the changes in your subscription.

Delete Service Options from your Subscription

NOTE: Depending on your user account type, you may or may not have the right to change your service options in a manner that affects account billing charges. See User Rights and Permissions for details.

To delete a service option from your subscription:

  • From the main menu, click Settings > Subscription.
  • In the Service Options section, click  Unsubscribe icon next an option to remove it from your account.
  • Confirm the service option deletion.

Your account billing will be adjusted to reflect the changes in your subscription.

Edit Private Phone Number Settings

Private phone number settings define how you want the Virtual Assistant to authenticate you, greet you and interact with you when you call from this number as well as what to tell you when transferring calls to you on this number (call screening option to know who's calling before taking a call).

To edit your private phone numbers settings:

  • From the main menu, click Settings > Subscription.
  • In the Office Extensions & Phones section, click the  Pencil icon next to the private phone number to edit its settings.
  • Modify the settings as required. See Private Phone Number Settings for details.
  • Click Save to apply.

Add Packages or Cancel Existing Packages

NOTE: Depending on your user account type, you may or may not have the right to change your service options in a manner that affects account billing charges. See User Rights and Permissions for details.

  • If you have a company employee account, you will only view the service packages and options that you use. Contact your Company Administrator to add, modify or cancel your service packages and options. 
  • If you have a single-user professional account for which you are paying, you have the possibility to add and remove services and options including phone numbers and office extensions. You may also close your account. 

Note that billing starts instantly for newly added or upgraded services, while billing for cancelled or downgraded services will cease at the end of the month.

Cancel Your Subscription

NOTE: Depending on your user account type, you may or may not have the right to change your service options in a manner that affects account billing charges. See User Rights and Permissions for details.

You can close your account and stop using the services at any time.

  • From the main menu, click Settings > Subscription.
  • Click the I want to unsubscribe and close my account.
  • A popup box will prompt you to confirm your cancellation. Click OK to confirm the cancellation.
  • Customer service will contact you to confirm your cancellation.

Billing Options

Depending on your user account type, you may not have access the billing options. See User Rights and Permissions for details. This is where you manage your billing method (monthly invoices or automatic credit card payments) as well as the billing address.

Modify Billing Options

  • From the main menu, click Settings > Subscription.
  • Click the Billing Options hyperlink at the top of the page.
  • Edit the fields as required. See Billing Option Settings for details.

Billing Details

This section specifies your selected method of payment:

  • Invoices: You receive monthly invoices payable by the due date.
  • Credit card: You are invoiced monthly and have pre-authorized payments on your credit card. To select this method of payment, you must fill the required credit card fields.

Use the toggle button to change from one method of payment to the other.

Billing Address

All fields under the billing address are mandatory for mailing and billing purposes.
