Initial Setup
The best way to start on the right foot is to use the setup wizard. It will walk you through the various steps of setting up your account: phone numbers, contacts, email connection, etc.
To access the account setup wizard:
- Login to the Web portal. See Login for details.
- Click Getting Started in the main menu.
The account setup wizard will show the Welcome page or the last step where you left off if you already started the wizard. You can jump to the different wizard steps as required.
Initial Setup Check List
Login to the Web portal and use the following check list to complete your account setup:
- Check and update your profile information.
- Click Settings > Profile in the main menu to confirm your language, time zone, email signature, address, etc. See Profile for details.
- Make sure your subscription includes a Smart Number.
- To check, click Settings > Phone Numbers in the main menu.
- If the Smart Number section is collapsed, click the down arrow next to the section title to expand it.
- If no phone number is displayed, click the Add button to order a Smart Number or transfer an existing number. See Add a Smart Number for details.
- Review and configure the Smart Number options (voice calls, fax and SMS reception, 911 service). See Configure Smart Number Options for details.
- Add the phone numbers where you can be reached and that you may use to call the Virtual Assistant.
- Click Settings > Phone Numbers in the main menu.
- If the Phone Numbers section is collapsed, click the down arrow next to the section title to expand it. This section includes two types of phone numbers: internal office extensions (if you are using a company telephone system) and private phone numbers (cell phone, home, cottage, etc.).
- Click the Add button under internal extensions or private phone numbers to add locations where you can be reached and that you may use to call.

- Provide access to your email account.
- Click Settings > Mail Access in the main menu.
- Depending on your type of messaging account, the Virtual Assistant may access your email, but not necessarily your contacts and calendar.
- See Setup New Mail Access Connection for details.
- Create your list of contacts.
IMPORTANT: Only the contacts in your voice directory group can be accessed using speech through the Virtual Assistant. The number of contacts in the voice directory is limited to ensure better name recognition.- Click Contacts in the main menu. From this section, you have 3 ways of adding contacts to your voice directory:
- Add contacts manually one at a time.
- Import contacts from a CSV file.
- Connect to your contacts on Google Mail or Microsoft Exchange server. Your Virtual Assistant can remotely access contacts on Google and Microsoft mail servers.

- Click Contacts in the main menu. From this section, you have 3 ways of adding contacts to your voice directory:
- Configure your call forwarding and call handling rules
- Click Call Forwarding > Greeting Options to configure general settings such as how to greet callers, announce your status to callers, etc. See Greeting Options for details.
- Click Call Forwarding > Schedules to setup how your incoming calls will be forwarded to you at various moments of the day (working hours, after hours, week-ends, vacations, holidays, etc). See Schedules for details..
- Click Call Forwarding > Status to set your current status, call handling and filtering rules. See Current Status and Call Filtering Preferences for details.
- Once your current status is set and all your call forwarding rules are ready, you can check if they work property using the test function. To do so, click Call Forwarding > Test in the main menu. See Call Forwarding Test for details.
- Configure your text messaging (SMS) options.
- Click Settings > SMS Options in the main menu to setup the options to handle text messages received. See SMS Options for details.
- Configure your message alerts options.
- Click Settings > Message Alerts in the main menu to determine how you want to be notified when you receive a new voice message. See Message Alerts for details.
Initial Setup of Voice
After completing your account setup on the Web portal, you may login and access your Virtual Assistant by phone to complete the following steps. See Call the Virtual Assistant.
- Record your voice mail greeting message
- Record your name
- Set your language
- Set your interaction mode with the Virtual Assistant (voice interface vs keypad commands)
